What personal data I collect and why I collect it
Comments
When visitors leave comments on the site, I collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Contact forms
If you use the contact form on this site, it collects the information you provide in order for me to contact you back. This includes your name, email address, phone number and any information you provide in the subject and message boxes. To help prevent spam, the browser agent, and IP address of the computer is also collected. This information is emailed to me directly and responded to accordingly. It is not used for any further commercial or marketing reason – purely to communicate with you about the content of your message.
Order Fulfilment
When you place an order via this website, a record of your name, company name, email address, shipping address, billing address, computer IP address, amount spent and products ordered are kept on the website. This data is passed to PayPal (if you choose to pay via PayPal) and to our accounts software provider. See below for links to their privacy policies.
Marketing, Promotion and News Sharing
When you join a mailing list on this website, we use your name and email address to pass occasional information to you about news relating to Hampshire Sheen Ltd and the company’s products which includes marketing and promotional material. If you are a trade customer and join a mailing list, you will receive occasional confidential product and company news updates not otherwise available to the public. Your data is not shared outside of Hampshire Sheen Ltd.
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you have an account and you log in to this site, I will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, I will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

I use Google Analytics to monitor website traffic to and from this website to enable me to better understand visitor behaviour and improve the website. Who we share your data with
I do not share your data with anyone outside of Hampshire Sheen Ltd for marketing or promotional purposes. See below for where your data is sent to enable me to process payments and orders through this site.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information. Use the GDPR link in your account dashboard to download or delete data.
From 25th May 2018:
- Pending (unpaid), failed and cancelled orders will be deleted after 1 month following the creation, failure or cancellation of the order,
- Completed orders must be kept for 7 years,
*For legal reasons, details of financial transactions must be kept for a minimum of seven years. This is Her Majesty’s Revenue and Customs requirements is a compulsory for a UK business to adhere to.
What rights you have over your data
You can keep tabs on your data. In your account dashboard, there is a new option called ‘GDPR‘. Clicking this link will give you options to update your data, download a copy of the data we store about you and an option to delete your data completely from the website. There is some data we have to legally keep for administration and legal purposes, namely financial transaction and booking data.
To view your data and see these options, you need to log in to your account by clicking here and follow the instructions on screen.
If you believe you may be on a mailing list, but do not have an account, you can download any data we may be storing by clicking here for a GDPR Data Request, or delete your data completely by clicking here: GDPR Be Forgotten. In both cases, follow the instructions on the screen and messages you may receive to complete the processes.
Where we send your data
Visitor comments are checked through an automated spam detection service. Data you add to this site through purchasing as kept on our accounts software in accordance with the law. See www.xero.com for their privacy statements. Your data may also be sent to PayPal in order to process your payment if you choose to pay via this service. Visit www.paypal.co.uk for information on their privacy policy. Your delivery address is sent to the manufacturer of garments, gifts and merchandise so they may be sent to you by them. See www.inkthreadable.co.uk and www.awesomemerchandise.com for their privacy policy. Your name, company name, shipping address, email address and contact phone number are passed on to Federal Express in order for them to safely deliver your order. They use your email address to send you tracking information and your phone number if they need to contact you regarding the order, or delivery.
